Job Description for the Executive Assistant to the Pastor (EAP)
The position of Executive Assistant to the Pastor at Rutgers Presbyterian Church is a very
special ministry. The person who holds this position should be knowledgeable about the
Reformed tradition and should feel called to Christian service.
This position is primarily intended to assist and support our pastor in his two major
functions: (1) planning, developing and implementing the various ministries and
activities that nurture our church family and the wider community that we also serve,
and (2) serving as head of staff, overseeing the work of the employees of the church as
well as the smooth functioning of the church properties and plant.
The EAP is privy to a great deal of extremely confidential information, such as financial
records, personnel matters, and counseling situations, and it is absolutely essential that
this individual not divulge private matters of any sort to anyone, church member or not.
Responsibilities
The responsibilities of the EAP include but are not limited to the following:
• Serve as the receptionist for our church, pastor, and staff, answering phones,
greeting visitors, and making appointments.
• Coordinate the participation of lay volunteers in the life of the church.
• Produce weekly church bulletin for worship; seasonal religious holiday services and
special services (such as funerals, weddings, holy unions, and concerts)
• Maintain monthly calendar of events for the church.
• Manage production of newsletter.
• In cooperation with the Clerk of Session and chairs of committees, maintain
permanent church records, including lists and contact information of the
congregation (members and nonmembers), all committees and boards, and registers
of membership, baptism, marriages, and death.
• Maintain and safeguard the files of the church office and the committees, online or
in hard copy, as needed.
• Collate and publish the annual report.
• Attend regularly scheduled staff meetings, and maintain notes of those meetings.
• Other duties as mutually agreed
Requirements
• Education: a minimum of an A.B. degree
• At least two years of experience doing office support and administration
• Strong computer skills, including Microsoft Word and Excel
• Excellent command of the English language, both written and spoken
• Demonstrated high‐level organizational skills
• Emotionally, mentally, and physically able to perform job responsibilities
Relationships
The DEA reports to the Pastor, as Head of Staff, and is accountable to the Personnel Committee.
Salary
Commensurate with experience; excellent benefits.
